Processes and documents

Automate the paperwork, with review

Invoices, forms, letters, product sheets, menus: the documents that come in and go out every week, read, classified, transformed and published automatically, with a human review before anything goes out.

The problem

Part of administrative work is copying: reading a document, pulling out the information, retyping it elsewhere, publishing it. It is slow, it costs errors, and it occupies people who have better things to do. Today’s reading and vision models do this work correctly, provided they are framed: clear rules, a confidence threshold, a person who reviews what goes out.

What I put in place

The principle: automate the copying, keep people on the decision and the review.

The flow, drawn with your teams

I start from a concrete flow: supplier invoices, requests received by form, a restaurant’s weekly menu, a catalogue’s product sheets. I write down what comes in, what must come out, who reviews and where it is published.

Read and classify

A document arrives (PDF, photo, e-mail). A reading chain extracts the useful fields; readable rules classify the simple cases; a model handles the rest under a confidence threshold; below it, the document goes to a person.

Transform and publish

Extracted data becomes a page, a record, a row in your CRM or business tool. Anything meant for the public is reviewed before publishing. Example in production: a restaurant menu photographed, extracted by AI vision, published every week after review.

Measure and extend

Number of documents processed, share reviewed, errors corrected, time saved. I extend to a second flow only once the first holds.

Your data stays with you

Documents are processed in a separate environment, with models hosted in Europe when the nature of the data requires it. Nothing is used to train a public model. Classification decisions are written down and can be consulted.

Frequently asked questions

Which documents can be processed?

Anything readable: PDFs, scans, photos, e-mails, forms, tables. Vision models also read documents photographed with a phone.

What happens when the reading is uncertain?

The document goes to a person, who corrects it. The correction improves the rules or the model. The uncertainty threshold is set with you.

Do I have to change my tools?

No. The chain plugs into what you use: mailbox, CRM, website, spreadsheet, business tool. I add a process, not new software to learn.

Which flow should I start with?

The one that costs the most time each week and whose result is easy to check. I measure, then extend.
